TPAssist includes the ability to move content around your various linked project and dashboard
maps quickly and easily. This capability is defined under the heading of "Capture / Store /
Process" and has the following components:
These components work together as a team to help you instantly capture, store and process your
ideas, tasks, notes and next actions.

TPAssist supports a number of methods for capturing:

The Send Topic MindManager Command provides a method for taking topics and their sub topics
and putting them in the basket for later processing. The Send Topic command sends the topic's
XML to the basket, this XML is then used during processing the create an exact replica of the
original topic and its sub topics.
This tool is really useful for processing notes taking during phone calls, ad hoc brainstorming or
even meeting minutes.
To use the Send Topic command, simply select the target topic (the map doesn't need to be
saved and this capability works with Mindjet Connect maps). Then locate the "Send Topic"
command. (See the Tools menu in MindManager 6, and the TPAssist Ribbon in MindManager 7
and 8.)
Now, set the category or tag, then click Send To Basket.
When processing is next performed, the captured topic will be created at the appropriate quick link
location.
You can also make use of the "flagged" quick links and have a linked topic created after the topic
tree is "inserted" at the new Category / Tag. Just select the appropriate item under the "Also Link
At". NOTE: the "Also Link At" selection is disabled if you are working in a
Summary Map.

The "Link At" command is designed to help you create linked topics in your Dashboards and
Summary Maps.
All you need to do is select the topic you want to link. Then click "Link At" from the TPAssist
Ribbon or choose "Link At" from the Topic's Right- Click menu. Then in the popup dialog select
the category / tag where the link should be created, customise the description and click Send to
Basket.
The "Include Task and TPAssist Topic Properties" will instruct TPAssist to include task details
(like dates, priorities, percent complete and flags) as well as TPAssist properties like the Journal
Reference).

The Send Map MindManager Command provides a method for taking entire maps and putting
them on the basket for later processing. The Send Map command stores the fully qualified file
name of the map to the basket, this file name is then used during processing to attach the
map to the topic.
This tool is really useful for processing notes taking during phone calls, ad hoc brainstorming or
even meeting minutes.
To use the Send Map command, simply create and save your map. Then locate the "Send Map"
command. (See the Tools menu in MindManager 6, and the TPAssist Ribbon in MindManager 7
and 8.)
Now, customize the description (if necessary). Then set the category or tag, then click Send To
Basket. If you wish TPAssistCapture to delete the original after it is attached, check the "Delete
Original map after map is processed and attached."
You can also make use of the "flagged" quick links and have a linked topic created after the topic
tree is "inserted" at the new Category / Tag. Just select the appropriate item under the "Also Link
At".
NOTE: This tool does not presently work with maps saved to Mindjet Connect. You should use
Send Topic
instead.

The Basket Process has four functions:

Firstly it opens and reads the
TEXT files constructed by the
capture tools.
-
Secondly, the basket processor locates the "
Quick Link" associated with the captured item.
-
Thirdly, the processor will use the hyperlink contained in the Quick Link to determine where to
create a new topic and insert the captured item's details.

And finally, the processor will create a new subtopic and assign the capture item details.
If files or maps where specified during the capture process, these are attached to the new topic. If
"delete original" was specified during file specification then the processor will delete the original file.

TPAssist Capture/Store/Process capability is designed to move content around your various linked
project and dashboard maps quickly and easily, as well as send ideas, tasks, notes and next
actions to specific topics within your maps. This is achieved by configuring hyperlinks in the
Quick Links map. If during basket processing, a hyperlink is discovered to be broken or
inaccessible (i.e. Mindjet Connect maps), then TPAssist needs to know what to do. It has two
options. Firstly, TPAssist could ignore the captured item, effectively leaving it on the basket.
And, secondly, TPAssist can treat the item as it treats categories/tags with no hyperlinks, i.e.
the captured item is send to a new blank map.
The path taken with broken or inaccessible hyperlinks is configured in the MindManager add-in
options.
Simply, choose TPAssist Options (In MindManager 6, see the Tools menu):
Now check or uncheck the "Add items from Missing/Broken Quick Links to new map". If
unchecked, the offending item will be ignored and left on the basket.

You can customize where you store your Quick Links map and also where TPAssist temporarily
stores captured items.
1. Open MindManager.
2. Locate “TPAssist Options”
In MindManager 6, see the Tools Menu.
in MindManager 7 and 8, see the TPAssist Ribbon and on the Tools Tab choose “Options”.
3. In the Options dialog, choose "System" on the right list:
WARNING: Do not have any items in the capture basket before changing
either of these items. Also, you must close and restart MindManager and
all Capture Tools before changes will be in effect.

Auto-Journal is a facility provided by TPAssist to help you journal your captured items. The
concept being that when you "capture" something you want the fact that it was captured
"journalled" when it "lands". This is useful if you capture an action and want it automatically
included in a task map with a starting date of when the action was captured.
An "Auto-Journal" is effectively a MindManager Callout topic appropriately formatted. When
TPAssist comes across this formatted Callout, it will use the TPAssist Options to determine if it is
processed just as if you hade use the "Journal" tab to enter the topic details.
Auto-Journal "callouts" are added if configured by the
capture tools external to MindManager.
You
can also add these manually, which is particularly useful for pre- configuring journal content in
template maps and topic trees.
The "tag" used to identify the Callout topic, is configured in the TPAssist Options. WARNING:
Changing this tag whilst there are still "unconverted" callouts in your maps will hide these callouts
from TPAssist's ability to convert them.

If this option is configured
, TPAssist will automatically convert any "Auto-Journal" to a journal entry
as it is discovered during Tree Updates. This applies to "Topic Update", local map Tree Update
and also multi-map Tree Update.
|
|
If this option is configured
, TPAssist will automatically convert any "Auto-Journal" to a journal entry
when you click the "Journal" tab on the particular topic.

If this option is configured
, TPAssist will automatically convert any "Auto-Journal" to a journal entry
as it is discovered prior to executing any of the MindManager 7/8 Ribbon Aut- Commands:

The Quick Links map is a MindManager map (compatible with version 6, 7 and 8). Unless
otherwise instructed TPAssist, will create and maintain this map in your "My Documents" folder.
The map will be saved as "MyTPAssistCaptureQuickLinks.mmap".
|
|
Quick Links are "instructions" that specify two things: Firstly, the Quick Link name or topic title is
the Category or Tag that is used to organize your notes during the capture process. Secondly,
associated with each Quick Links is a Hyper Link to another mind map and topic. It is these
hyper linked topics which will "receive" your notes as new subtopics during
Basket Processing.
Hyperlinks can be created to any other map and or map topic. The hyperlink can also be directed
at Mindjet Connect maps (however you need to sign-in to Mindjet Connect before processing
your captured items).

Quick Links can be "standard" or "flagged". "Flagged" topic are those with a FLAG icon marker (it
doesn't matter which colour).
"FLAGGED" topics in the Quick Links map are treated differently than normal topics. These topics
are considered your " Link At
" topics and should be used to direct your content towards
Dashboards and Summary Maps. These flagged topics wont appear in the "
Send Topic"
categories list or in Capture Tools (The one exception being that if you use "Send Topic" in a
Summary Map,
you may wish to use the Link At topic also, so they are included in the categories
list).
NOTE: If you don't have any flagged topics in your Quick Link map, all your topics will be
considered "Link At" topics as well.

To edit your Quick Link Map, in MindManager, simply open the TPAssistCapture Options and
choose "Edit Quick Links (Open Map)". (See Step-By-Step in
Getting Started)
Once the map is open, Quick Links are added as main topics (i.e. central topic subtopics). All
other subtopics will be ignored. Simply add a topic, edit its text and then add a hyperlink.
Subtopics that are not given hyperlinks will be treated as "brainstorming" tags during Basket
Processing. This means, TPAssist will create a new blank map, insert the category/tag and
create your idea as a new subtopic. This puts you ready to start brainstorming further with that
idea.
The order configured in the map is the order used in capture tools (
tell me more).

As well as creating Quick Links manually, you can use TPAssist's Topic Context tool to add
them for you. Simply, locate the map and topic where you associated new capture items will be
"landed", then right-click on the topic and choose "Add to Quick Links".
In the background, TPAssist will open the Quick Links map, create the new category/tag,
configure the hyperlink, save the changes and
Refresh the Categories List
. The exact behaviour
of the background activity is configurable via the first two "Settings" in the MindManager add-in
Options dialog:
If you wish to further customize the category/tag, you simply open the Quick Links map as
described above in Editing your Quick Link Map
.

Your Quick Links
as configured in the Quick Links map, are effectively "published" to your
system registry for use by Capture Tools. These capture tools are purposely "decoupled" from
MindManager for efficiency and speed, and also so that you can work away in MindManager on
key focus items independently of your capture process. Therefore, in order for your capture
tools to have an up to date list of categories/tags, you need to "publish" or "Refresh the
Categories List" when ever you make manual changes to the Quick Links map.
Further more, external tools, i.e. the
Capture Tool in the Windows System Tray
, won't know you
have made changes to the Quick Links, so you need to "Refresh Category/Tag List" from within
these tools also.
To ensure your most recent changed made to the Quick Map are published for Capture Tools,
follow these steps:
1. Save and close the Quick Links map.
2. Locate “TPAssist Options”.
3. In the Options dialog, choose “Refresh list of Categories / Tags used by the capture tools”.

Then display order of your categories / tags in the capture tools is governed by the order of
subtopics in your Quick Links map. Starting at "1pm" and rotating clock-wise, the order
maintained by these main topics will be the order used in the capture tools Lists selection box.
Remember after changing the order in the Quick Links map you need to
Refresh List of Categories.
